1. Introduction

Your access to and use of our service (“POInbox”, “our service”, “the service”) provided by POInbox (“us”, “we”, “our”) is governed by these terms and conditions (“T&Cs”, “Terms”).

With POInbox, you may use your dedicated POInbox email address (“address”) to funnels all emails received by that address into our service to be dropped or forwarded onto you.

With our service you may:

  • Receive emails to your address
  • Enable or Disable forwarding of emails from that address
  • Change the address emails are forwarded to
  • Change the filter mode by which the address operates
  • Add, create, edit, delete, enable, or disable any rules that will determine the outcome of messages received
  • Set rules to forward or drop a message
  • Set the name of the address
  • Send emails from the address (if address is verified)
  • Invite others to join the service


These terms are current as of the date above.

You authorise us to collect, use and disclose your personal information, including for the purpose of preventing or investigating actual or suspected fraud, misconduct, or conduct that is in violation of our terms.

2. Registration

To use our service, you will need to be invited by an Administrator of an Organisation that is registered with our service, or be invited by a member of the POInbox team.

3. Access

Access to our service is subject to our approval, and may be revoked by us at any moment with no requirement to inform you of our reasoning. You may be required to identify yourself by completing a Know-Your-Client (KYC) process before your access to our services is granted or restored.

You acknowledge and agree that:

  • you are responsible for maintaining security of access to the email associated with our service;
  • if your address is associated with an Organisation, any Administrator of that Organisation may view, access, and use your account as you would be able to;
  • you will not use our service in any way that is in violation of any terms of service, rules, agreements, constitutions, requirements, and policies;
  • you will not use our service for an unlawful purposes or in bad faith;


Use of our service is dependent on meeting and maintaining the minimum requirements as described in these terms.

Whilst we endeavour to ensure that our service is continuously available, from time to time our online services may be affected by disruptions due to system maintenance, telecommunications disruptions and third-party system faults. 

By registering to use our service, you acknowledge and agree that our service is provided on an “as is” and “as available” basis, and that the existence of any system errors or downtime will not constitute a breach of these terms. 

To the full extent permitted under applicable law, we expressly disclaim all representations, warranties and conditions of any kind or nature whatsoever, whether express or implied, and whether arising by statute or otherwise in law, from a course of dealing or usage of trade, including without limitation, any implied warranties or conditions, any condition or warranty of merchantability, title or non-infringement of third party rights and any condition or warranty of fitness for a particular purpose.

4. Minimum Requirements

To be able to use our service, you must obtain and keep at all times:

  • An internet connection;
  • A web browser that has Javascript enabled;
  • A web browser that has support for the HTML Living Standard;
  • An email address that can receive emails from our service, servers, and internet service providers;


5. Cost and Fee’s

The cost to use our service is described on our website when you register.

Costs for addresses associated with Organisations will be specified in the agreements with the relevant entity responsible for maintain the service.

Additional fees may be levied on users or Organisations from time to time as the need arises, in relation to tasks or requirements they may have, or in response to actions they have taken using our service.

You acknowledge and agree that we may change or waive any costs or fees at any moment and for any reason by providing you with seven days written notice by email, post, or other manner of written communication.

6. Receiving and Sending Emails

Depending on the configuration of your address, you may be able to receive or send emails.

Enhanced verification measures may be required to allow your address to receive and/or send emails. We reserve the right to impose additional security, requirements, or restrictions on your address as we deem appropriate. These will be communicated to you in writing to the email associated with your address.

When configuring an address, it is your or the relevant Administrator’s responsibility to ensure that the intended configuration is correct and fit for purpose. We do not carry out any checks to determine if the configuration options provided are correct.

For example, we do not check if your configuration may drop all emails.

Accordingly, any error made configuring your address in our service may result in emails not being forwarded and dropped, and it may not be possible to recover these emails.

Emails sent from our service will automatically include the email address associated with the address as a recipient to that email.

We provide no guarantee that any emails sent to your address will be processed accordingly to your configuration, or that they will be forwarded or dropped successfully. We make no assurances that emails sent or forwarded from our service will reach their intended recipients.

You acknowledge and agree that:

  • we are not responsible for any emails not being received by any intended party;
  • we are not responsible for any errors that may result in a different outcome being applied to an email that was not intended or specified;
  • emails sent to your address may not be recoverable;
  • you are responsible for any consequences of actions resulting in your use or misuse of our service;
  • you indemnify us against any claims of loss and rom any legal challenges arising for the use or misuse of our service, including but not limited to emails not being received, sent, or forwarded.


7. Organisations and Administrators

Our service may be used by companies, organisations, businesses, groups, or any number of collective legal entities, in a way that uniformly groups and categorises all addresses associated with their service. Within our service and these terms, these are referred to and known as Organisations.

There may be addresses that are associated with Organisations that have additional privileges and permissions that enable them to view and access any other addresses associated with the Organisation of that user. Within our service and these terms, these are referred to and known as Administrators.

We reserve the right to amend or remove the privileges of an Administrator for any reason at any moment of our choosing and without prior notice. We will inform the Administrator of the Organisation when we do this.

8. Unauthorised Access

Unauthorised access is access which is not authorised by you, by an Administrator of the Organisation associated with your address, if any, or by us.

We will inform you of any unauthorised access to your account if/when we are made aware of it and when we are able to do so

You acknowledge and agree that:

  • you will not gain unauthorised access, or attempt to gain unauthorised access to any address in our service;
  • we may choose to delay informing you of any unauthorised access to your address or to our service;
  • you indemnify us against any claims of loss and rom any legal challenges arising from any unauthorised access .


9. Security

We are committed to providing the highest quality of service within a trusted environment, and to keeping the wider online community safe and secure.

You must take all reasonable steps to protect the security of your respective computer hardware and software, including Mobile Devices. Reasonable steps include:

  • protecting your devices from viruses and maintaining passwords;
  • keeping your devices up to date with the latest software;
  • setting screen locks, and strong passwords to ensure that others do not have access to the use of your devices;
  • not forwarding login emails to other people;
  • not providing access to your email account associated with your address to other people;

You must log out from our service at the end of each session. We reserve the right at any time to log you out of our service.

We reserve the right at any time and for any reason to amend, restrict, remove, or change an address in use with our service or the configuration of that address.

Where you have removed some system level restrictions on a Mobile Device by, for example, ‘jailbreaking’ or ‘rooting’ the Mobile Device, you indemnify us for any loss arising from fraudulent activity carried out on the Mobile Device, including in respect of your address.

Where you have removed some system level restrictions on a Computer (PC, Mac, Linux, etc) by, for example, ‘disabling UAC’ or ‘enabling the root account’ on the Computer, you indemnify us for any loss arising from fraudulent activity carried out on the Computer, including in respect of your address.

Where you have removed some system level restrictions on any device, you indemnify us for any loss arising from fraudulent activity carried out on that device, including in respect of your address.

You are responsible for ensuring that you and any other Administrator immediately notifies us:

  • if you suspect that the security of an address has been compromised;
  • if you suspect that the security of an email address associated with that address has been compromised;
  • if you suspect that the device of a user or person with access to our service has been compromised;
  • you become aware of any unauthorised access;
  • you become aware of any suspicious or unauthorised emails sent from our service;

We reserve the right to at any time and for any reason without notice, impose on you, your address, and/or your organisation, any additional security measures.

Our security measures may change from time to time at our discretion and include any appropriate method of authentication or contacting you verify the use of our service.

10. Third Parties

We may use the services, tools, or facilities of, or provide links to other third parties in our service, or on our website.

You accept the terms and conditions of any third parties used within our service, and agree to have your details and information used within their services or products for the purposes of our service.

Any links are provided for your convenience and we are not responsible for the availability of websites or resources offered by third parties. We do not endorse or accept responsibility for the content of such external websites or resources.  Your access and viewing of any third-party websites or resources is conducted at your own risk.

11. Termination, Revocation, and Suspension of Service

We may at any time and for any reason terminate, suspend, and/or revoke your access of our service or our provision of our service to you. We may do so if:

  • we deem there to be breaches or suspected breaches of these terms, or any other incorporated agreements or guidelines (in a material way);
  • we reasonably believe that use of our service may cause loss to you or us;
  • to comply with our obligations under any applicable laws or a court order.

Where and when possible, we will give you reasonable notice, however this may not be possible in all circumstances. To protect you and us, we may deactivate or delete the address without prior notice if it is not used in 12 or more consecutive calendar months.

You may contact us to suspend your address or your service.

Service provided to an Organisation must comply with all relevant termination provisions in their agreement.

12. General Provisions

We may change these terms at any time and for any reason. We will provide you written notice to your email address associated with your address.

If we make other changes to these terms, we will publish an updated version of the terms on our website.  By accepting these terms, you agree that our publishing of an amended version will be sufficient notice of any such changes and subsequent access to our service will constitute acceptance of those amendments.

Where such changes are in our opinion materially detrimental to you, we will provide you with at least 7 days written notice by sending you an email which will summarise the nature of the changes.

By registering to use our service, you acknowledge and agree that we may give all notices and other communications in connection with these terms electronically, either by emailing the notices to your last known email address, or making the notices available on our website or through our service.

You are required to check your emails messages regularly, and are required to read any emails sent from us.

You must ensure that the contact details that you provide to us, including but not limited to your mobile your name and email address, remain up to date. If your details change, you must let us know as soon as possible by updating them in our service (as available) or contacting us.

We will take reasonable steps to ensure that the information that we make available to you through our service is correct and updated regularly at the intervals we specify from time to time.

Subject to applicable law and any other provisions in this section, we are not liable for or in connection with any inaccuracy, errors or omissions in that information because of the communications network or any other circumstances beyond our reasonable control.

We respect the confidentiality of the information of all our clients.  Information which you provide to us will not be disclosed except where we are required or permitted to disclose it.  This includes where we are compelled by law, there is a duty to the public to do so, our interests require us to do so or the disclosure is made with your consent.

13. Rights Reserved

We respect all our clients right to privacy. Information you provide to us will not be disclosed except where we are required or permitted to disclose it. In cases where information is released, we will endeavour to anonymise the data as much as we possibly can.

You acknowledge and agree that our service and website consists of and contain content that are owned by us, our licensors, our parents, and other contributors.  Our service, our website, and the content contained therein are protected by intellectual property and other applicable laws. You must not infringe the intellectual property rights of any person in using the service.

We have developed and maintain this service in good faith and we make no representation or warranty as to the accuracy or currency of the information provided. 

We grant you a personal, non-transferable and non-exclusive licence to access and use our service. Under this licence you are authorised to use the service for non-commercial purposes. You must not (and must not permit any third party to) modify, sublicense, loan, sell or distribute access to our service or our service, in whole or in part, create derivative works based on or reverse engineer the service. This paragraph may be set-aside if an additional legally binding written agreement that stipulates so exists between us and you.

14. Definitions

Business Day means every weekday except for Australian national public holidays.

Computer means an electronic device capable of web browsing functionalist, as notified to us by you from time to time

Day means a 24 hour period, for the purposes of giving notice.

Email means messages distributed by electronic means from one computer user to one or more recipients via a network.

HTML Living Standard means the HTML spec as published and maintained by the Web Hypertext Application Technology Working Group (WHATWG).

Mobile Device means a mobile phone or another type of personal electronic device as notified to us by you from time to time.

Third Party Website means a website relating to a product or service which is not our product or service, but which may be displayed and accessible through our service.
